Invitations
Invitations are the way new users join a company. Email-based, single-use, expiring.
Send an invitation
Open Settings › Members › Invite.
- Enter the invitee’s email address. You can paste multiple emails separated by commas to invite a batch.
- Pick a role: Owner, Admin, Member, or Viewer. See Roles & permissions for what each can do.
- Optionally restrict to specific projects (otherwise the invitee gets access to all projects in the company).
- Click Send invites.
The invitee gets an email titled “You have been invited to <company> on Toado” with a one-click join link.
Accepting an invitation
The invitee clicks the link in the email. Two paths:
- They already have a Toado account: they are added to the company immediately and the link redirects to the company’s first project.
- They do not have a Toado account: they are sent through sign-up first (Google or email magic link). After completing sign-up, they are added to the company.
Either way, the invitee can use the company immediately.
Manage pending invitations
Settings › Members › Pending shows every unaccepted invitation:
- Role
- Sent at
- Expires at
- Resend / Revoke buttons
Resend re-emails the invitee. Revoke invalidates the link immediately; the invitee sees “This invitation is no longer valid” if they click it.
Expiry
Invitations expire 14 days after sending by default. The expiry is shown in the pending list. Once expired, the link returns “This invitation has expired”; resend to send a fresh one.
Single-use
Each invitation link is single-use. Once accepted, the link cannot be reused. To add the same person again (e.g. they accidentally signed up under a different email), revoke the old invite and send a new one to the correct email.
Removing a member
Settings › Members › (pick a member) › Remove.
Removing a member:
- Revokes their access to all projects in the company immediately.
- Does not delete the user account (they may still be a member of other companies).
- Does not delete tickets they created or comments they posted; their name remains on those records.
- Revokes any API tokens they had that were scoped to this company.
A removed member can be re-invited later if needed.
Bulk operations
For bulk invites, use the comma-separated email field on the invite form. There is no CSV import in v1.
For bulk removal, you remove members one at a time from the Members list.
Owner-only protections
The last owner of a company cannot be removed (someone has to be able to manage the account). Promote another member to owner first, then remove yourself if needed.
Where to next
- Roles & permissions for what each role grants.
- Companies & projects for the broader data model.
- Notifications since invitees get notified about activity once they join.
